Terms and Conditions for Westcombe Park Carpet Cleaners

Professional carpet cleaning equipment prepared for a booked serviceThese Terms and Conditions apply to all domestic and commercial carpet cleaning services provided by Westcombe Park Carpet Cleaners and any related upholstery, rug, stain treatment, deodorising, and protection services agreed at the time of booking. By making a booking, the customer confirms that they have read, understood, and accepted these terms. These terms are intended to set out clearly how service requests are handled, how payments are made, when cancellations may be charged, and how liability is managed. They also explain the approach to waste handling and the legal framework that applies to the service. For the avoidance of doubt, references to carpet cleaning services include any variation of the main service name, such as Westcombe Park carpet cleaners, carpet cleaning in Westcombe Park, or Westcombe Park rug and upholstery cleaning.

In these terms, “we”, “us”, and “our” refer to the service provider operating under the name Westcombe Park Carpet Cleaners. “Customer”, “you”, and “your” refer to the person or business booking the service, authorising access to the premises, or paying for the work. If a booking is made on behalf of another person, the person making the booking confirms that they have the authority to do so. All services are provided subject to availability, survey of the work area, and the suitability of the fabric, flooring, or item to be cleaned. We reserve the right to decline a job where the condition of the item, the likely outcome, or the requested treatment is not appropriate for professional cleaning.

Technician inspecting carpet fibres before cleaning beginsAny estimate, quotation, or price indication given before the job is carried out is based on the information supplied by the customer and, where applicable, a visual inspection of the area or items. Quotes may change if the actual condition, size, access, staining, or soiling differs from the description provided. A revised price may be offered where additional labour, specialist products, or extra drying time is reasonably required. Unless expressly stated otherwise, quotations remain valid for a limited period and may be withdrawn or amended if circumstances change. No obligation arises until a booking has been confirmed by us.

Booking Process

To arrange a service, the customer must provide accurate details about the property, the items to be cleaned, access arrangements, parking restrictions if any, known stains, fibre type, and any relevant health, safety, or vulnerability concerns. This information helps us choose suitable equipment, detergents, and methods. A booking is not final until we have confirmed the appointment and, where requested, received any deposit or advance payment. We may ask for photographs, room measurements, or further information before confirming the schedule. If inaccurate or incomplete information is supplied, we may need to revise the quote, alter the service plan, or cancel the appointment without liability.

We aim to arrive on the agreed date and within the estimated time window, but all timings are approximate and may be affected by traffic, weather, previous appointments, equipment issues, or unforeseen delays. The customer should ensure access to the property and the working area at the scheduled time. If parking, lift access, keys, codes, or entry instructions are required, these must be provided in advance. Any delay caused by lack of access may result in waiting charges or a rescheduled appointment. If the customer is not present and no suitable access has been arranged, the booking may be treated as a cancellation by the customer.

Where the work forms part of a larger cleaning programme, the customer remains responsible for confirming exactly which rooms, items, or surfaces are to be cleaned. Any variation requested on arrival will be treated as an amendment to the booking and may affect the price and completion time. Westcombe Park Carpet Cleaners may use subcontractors, assistants, or specialist partners to fulfil a booking, but responsibility for the contract remains with us unless stated otherwise in writing. We reserve the right to refuse to clean items that are excessively wet, fragile, contaminated, mould-affected, structurally unsound, or otherwise unsafe.

Payments and Charges

Unless otherwise agreed in writing, payment is due on completion of the work on the day the service is carried out. We may accept payment by cash, bank transfer, debit card, credit card, or other methods notified at the time of booking, subject to any processing conditions that apply. For business customers or larger contracts, we may agree invoice terms in advance. If payment terms are agreed on invoice, the invoice must be paid by the date stated on it. Failure to pay on time may result in late payment charges, recovery costs, and suspension of further services.

The quoted price generally covers the labour, standard equipment, and cleaning products needed for the agreed service. Additional charges may apply for extra rooms, larger-than-declared areas, specialist stain removal, protective treatments, heavy pre-treatment, upholstery detailing, deodorising, difficult access, waiting time, parking charges, or emergency call-outs where relevant. If extra work is needed once the job has begun, we will normally explain the reason and seek approval before proceeding. Carpet cleaning by Westcombe Park Carpet Cleaners does not guarantee the removal of every stain, mark, odour, or wear pattern, and the price is based on the service required rather than a promise of a particular visual result.

Cleaning process in progress with extraction equipmentIf a deposit has been taken, it will usually be deducted from the final balance. Deposits reserve time and resources and may be non-refundable where cancellation occurs outside the permitted cancellation period or where a customer fails to provide access. We may also require payment in full in advance for certain high-value, remote, or specialist services. Where a payment is reversed, disputed without reasonable cause, or delayed beyond the agreed period, we may recover our direct costs and any reasonable administrative or collection expenses permitted by law.

Cancellations, Rescheduling, and Missed Appointments

The customer may cancel or reschedule a booking by giving notice as soon as possible. Unless a different arrangement has been agreed, cancellations made with reasonable notice will not normally incur a charge. However, where notice is insufficient and we have already reserved time, prepared equipment, or incurred travel or material costs, a cancellation fee may apply. This may also apply where the customer is absent, denies access, or is unable to proceed with the appointment at the agreed time.

If we need to cancel or reschedule due to illness, severe weather, breakdown, staff shortages, safety concerns, or other events beyond our control, we will try to give notice and offer an alternative date. We will not be liable for indirect losses arising from such changes, provided we act reasonably and in good faith. In the event that a customer postpones a booking repeatedly, or makes repeated last-minute changes, we may require a new deposit or decline further work. Westcombe Park carpet cleaning services rely on the availability of specialist equipment and trained staff, so punctuality and clear communication are important to both sides.

Where the service has already begun and the customer decides to stop the work before completion, the customer must pay for work carried out up to that point, including any materials used and reasonable preparation time. If the customer cancels after we have arrived on site, we may charge the full or partial booking fee depending on the circumstances and any loss caused. Any rights to cancel under consumer law may still apply where the contract was agreed at a distance or off-premises, subject to legal exceptions for services that have already been performed at the customer’s request.

Service Standards and Customer Responsibilities

The customer is responsible for moving small personal items, fragile objects, valuables, and furniture unless we have agreed to do so in advance. Large or heavy furniture may only be moved at our discretion and subject to safe working conditions. We are not responsible for pre-existing defects, hidden damage, weak seams, colour fading, loose dyes, worn pile, shrinkage, adhesive failure, or deterioration caused by age and use. Customers should tell us about any prior treatment, water damage, pest activity, underlay issues, or previous attempts at stain removal because these can affect the outcome and the drying time. Some fibres and finishes may react unpredictably even when treated correctly.

We will take reasonable care when cleaning carpets, rugs, upholstery, and associated surfaces. Nevertheless, cleaning is a restorative process rather than a replacement service, and no cleaning company can guarantee that every item will be returned to a “like new” condition. Results can vary according to fibre type, construction, soil level, and the length of time a stain has been present. The customer acknowledges that slight variations in shade, texture, or appearance may occur, particularly where areas have been exposed to sunlight, furniture pressure, or uneven wear. Such differences are not normally treated as faults in the service.

The customer should ensure that pets, children, and other occupants are kept safely away from the work area as needed. Adequate ventilation, access to water, electricity, and a clear route to the working area must be available. If the premises are unsafe, unsanitary, or unsuitable for cleaning, we may suspend or end the service. Any additional time spent dealing with hazards, contamination, or access problems may be charged where reasonable. Carpet cleaners Westcombe Park may also recommend that certain items are not cleaned until after repairs, drying, or specialist remediation have been completed.

Post-cleaning area setup with safety and access considerationsLiability and Limitations

Nothing in these Terms and Conditions limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot legally be limited or excluded under UK law. Subject to that, we shall not be liable for indirect, consequential, or economic loss arising from the use of our service, including loss of profit, loss of opportunity, or loss of enjoyment. Where we are found liable for direct loss or damage, our liability will be limited to the amount paid or payable for the relevant service, except where the law requires otherwise.

We are not responsible for damage caused by pre-existing weakness, hidden defects, unsuitable materials, incorrect information supplied by the customer, or items that were already damaged before cleaning began. We are also not liable for colour run, fibre distortion, shrinkage, pile reversal, adhesive release, rust bleed, or water marking where these occur despite reasonable care and are consistent with the nature of the material being treated. Customers should point out any concerns before work begins so that an informed decision can be made about the appropriate method or whether the item should be excluded from treatment.

If damage is caused directly by our proven negligence, we may at our option repair the damage, arrange a suitable remedy, or pay compensation in line with our liability limit and any applicable insurance arrangements. The customer must notify us of any issue as soon as reasonably possible and provide a chance to inspect the item before third-party repairs are arranged. Failure to allow inspection may affect our ability to assess the claim. These provisions are intended to be fair and reasonable in relation to Westcombe Park carpet cleaning work of varying complexity and risk.

Waste Regulations, Disposal, and Environmental Handling

Waste handling and responsible disposal after carpet cleaningWe operate in accordance with applicable UK waste handling and environmental requirements. Waste generated during the service may include extracted dirty water, used cloths, disposable filters, empty product containers, and other cleaning residues. Such waste will be handled, stored, and disposed of responsibly. Where waste is removed from site by us, it will be dealt with through appropriate disposal channels in line with applicable regulations. The customer must not request that regulated waste be disposed of in a manner that would breach the law, contaminate drains, or create a public or environmental nuisance.

Some cleaning processes involve wastewater extraction. The customer agrees that we may use water, detergents, and stain treatments as reasonably required, provided that such products are suitable for the material and the intended use. We will take reasonable steps to minimise waste and to use products in a proportionate way. If the customer asks us to remove heavily contaminated material, sharps, bodily fluids, mould-affected items, or other potentially hazardous waste, we may refuse the work or require specialist handling. Any such waste will be treated separately and may incur additional charges.

We may ask the customer to retain packaging, labels, or product information relating to stains, spot treatments, or prior cleaning chemicals because this can affect safe disposal and method selection. The customer must not mix our waste with general household rubbish if doing so would cause a breach of environmental or waste regulations. Where relevant, we may document waste handling procedures as part of our internal compliance records. Westcombe Park Carpet Cleaners will act reasonably to meet its duties while keeping the process practical for the customer.

Complaints, Changes to Terms, and Governing Law

If the customer is unhappy with any aspect of the service, they should notify us promptly so that we can investigate and, where appropriate, offer a remedy. We may request photographs, access to the affected area, or other evidence. Any complaint should be raised within a reasonable time after completion of the work. We will consider each matter fairly and in accordance with the scope of the booking, the materials involved, and the limitations set out in these Terms and Conditions. Delayed complaints may be harder to assess where the condition of the item has changed after the service.

We may update these Terms and Conditions from time to time. The version applicable to a booking will normally be the version in force at the time the booking is confirmed, unless a change is required by law or a new version is expressly agreed with the customer. If any part of these terms is found to be unlawful or unenforceable, the remaining provisions will continue in force. No waiver of any term will be effective unless confirmed by us in writing. The headings are included for convenience only and do not affect interpretation.

These Terms and Conditions, and any dispute or claim arising from or in connection with them, are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except where consumer law provides otherwise. By booking a service from Westcombe Park Carpet Cleaners, the customer confirms their acceptance of these terms as a fair and binding basis for the provision of professional carpet cleaning and related services.
